Cancellation Policy

Our cancellation policy varies depending on the type of tour. All deadlines are based on calendar days, including weekends and public holidays.

Standard Tours

Cancellation fees:

  • 8 days or more before the tour: No cancellation fee
  • 3 to 7 days before the tour: 30% of the participation fee
  • Within 2 days of the tour (including the tour day or no-show): 100% of the fee (non-refundable)

Deluxe Tours (¥100,000 or more)

Cancellation fees:

  • 30 days or more before the tour: No cancellation fee
  • 15 to 29 days before the tour: 50%
  • 7 to 14 days before the tour: 80%
  • Within 6 days of the tour (including the tour day or no-show): 100% (non-refundable)

If you’re unsure which category your tour falls under, feel free to contact us.
Unless otherwise specified, “days” include weekends and public holidays.


✅ Participation Guidelines

1. Health & Special Requirements

  • Participants should be in good health and capable of joining the tour
  • Inform us in advance of any medical conditions or allergies
  • Let us know about dietary restrictions (e.g., vegetarian, halal, etc.)
  • Accommodation adjustments may be possible with prior notice

2. General Conduct & Safety

  • Children must be accompanied by a parent or guardian
  • Follow instructions from guides and staff at all times

3. Photography & Media Consent

  • Photos/videos may be used by Lien / Omotenashi for promotional purposes
  • If you do not wish to appear, inform your guide or contact us in advance

✍️ Consent & Agreement

By submitting your reservation, you agree to the following:

  • I understand Omotenashi / Lien is not liable for accidents, injuries, or losses unless prohibited by law
  • I accept the cancellation policy
  • I will follow staff instructions
  • I will disclose any medical or allergy information
  • I agree to photo/video usage unless I opt out

To opt out of media use, uncheck the consent box and inform us in advance.


🌪 Force Majeure

Omotenashi / Lien is not liable for events beyond our control, such as:

  • Natural disasters (earthquakes, storms, etc.)
  • War, terrorism, or civil unrest
  • Epidemics/pandemics
  • Government restrictions (e.g., travel bans)
  • Major transport disruptions
  • Other unforeseeable events

In such cases, refunds, credits, or rescheduling may be offered depending on the situation.


🧭 Right to Modify the Itinerary

We may adjust the itinerary when necessary due to:

  • Weather or safety concerns
  • Transportation or traffic issues
  • Third-party service problems
  • Operational decisions

Minor changes are non-refundable. For major changes, we will inform participants and provide options.


👥 Minimum Number of Participants

Some tours require a minimum number of participants.
If not met, the tour may be canceled. We will notify you at least 1 day before and offer:

  • A full refund
  • Rescheduling
  • An alternative tour

💳 Payment Terms

Pricing

All prices are in USD, inclusive of tax.
Prices may change without notice, but confirmed bookings remain unaffected.

Payment Methods

We accept credit cards and bank transfers.
Full payment is required unless otherwise agreed.

Payment Deadline

Your booking is confirmed only after full payment is received.

Refunds and Cancellations

Security

Your payment is processed securely. We do not store credit card information.


⚖️ Governing Law & Jurisdiction

These terms are governed by Japanese law.
All disputes are subject to the exclusive jurisdiction of Osaka District Court.

We recommend insurance that covers:

  • Medical emergencies
  • Illness or injury
  • Personal liability
  • Trip cancellation/interruption
  • Baggage loss or damage
  • Emergency evacuation
